How to edit and annotate PDFs privately in your browser

PDFs are designed to preserve a page, not to behave like a word processor. That is why a reliable PDF workflow separates page content from annotations. Existing text, images and vector shapes form the original page; notes, highlights, signatures and replacements sit above it as editable objects.

Choose the right editing method

Before editing, decide what the finished document needs:

  • Add information: place a text box, image, date, check mark or signature over the page.
  • Review content: use highlights, freehand drawing and notes without changing the original wording.
  • Replace a short item: cover the old value and place corrected text above it.
  • Rewrite paragraphs: return to the original DOCX, design file or source document when possible.

A PDF stores text as positioned drawing instructions. A sentence that looks like one paragraph may be dozens of separate glyph commands with embedded font subsets. Reflowing those instructions like Word can change line breaks and move nearby objects, so overlay editing is safer for forms, labels and small corrections.

Make text additions look intentional

Match the nearby font size and color, then align the text box to an existing baseline. Use a filled background only when you need to hide old content. For a replacement, zoom in and make the cover area slightly larger than the original characters so no edges remain visible.

Keep contrast high enough for printing. Pale colors that look acceptable on a bright monitor can disappear on an office printer or after a document is scanned again.

Highlight the line, not the whole paragraph

A highlight should follow each text line independently. Drag across the words you need, use moderate opacity, and avoid covering adjoining lines. Yellow is familiar, but blue or green can separate different reviewers or categories.

Highlights are visual annotations; they do not prove approval and should not be used as a substitute for a digital signature or audit trail.

Add a signature cleanly

Draw or import a signature with a transparent background, resize it from a corner to preserve its proportions, and position it without covering the printed name or date. The Signature Maker can create a reusable transparent signature image locally.

For contracts that require identity verification, timestamps or a certificate chain, use a qualified signing service. A drawn signature is a visible mark, not cryptographic proof by itself.

Organize pages before annotating

Reorder, rotate or remove pages first with the PDF Page Organizer. Page changes after annotation can make review references confusing, especially when notes mention page numbers.

A dependable order is:

  1. Keep an untouched copy of the original.
  2. Reorder and rotate pages.
  3. Add text, highlights, drawings, images and signatures.
  4. Export the edited copy with a new filename.
  5. Reopen it and verify every page at normal and high zoom.
  6. Compress only after checking that small text and signatures remain sharp.

Privacy and practical limits

Viewing, annotation and export happen locally in the browser. This is useful for invoices, applications and internal documents that should not enter an upload queue. Very large or image-heavy PDFs can still use substantial device memory, so close other large tabs and save work in stages.

The editor is strongest for annotation, forms, page organization and precise overlays. For complex paragraph reflow, tracked changes or collaboration, edit the source document and create a fresh PDF instead.
